Summary

Legacy data refers to historical information stored in older systems. This data is no longer actively used for daily operations, but it is still crucial for compliance, historical analysis or other business purposes.

  • Legacy data, though inactive, provides crucial historical insights, supports compliance and informs strategic decisions.

  • Effective management of this data prevents loss, improves system performance, enhances operational efficiency and supports regulatory adherence.

  • A comprehensive strategy involves auditing, cleaning, converting, migrating and archiving data.

  • Nuxeo helps manage and modernize legacy archives, ensuring data remains accessible, secure and compliant.

Why archive legacy data?

Investing in effective legacy data management strategies is a business imperative, not just a best practice. Archiving legacy data is a crucial aspect of modern data management and offers significant benefits for organizations.

Ensures data availability and historical insights

Effectively managing this data ensures its availability and accessibility when needed, such as for audits or historical analysis. It also provides historical trends and patterns that inform strategic planning.

Prevents data loss and corruption

Proper legacy data management prevents data loss or corruption, which can be catastrophic for businesses.

Improves performance and efficiency

Good legacy data management practices improve operational efficiency by minimizing outdated or irrelevant data. This frees up storage space and enhances system performance and speed.

Reduces costs and optimizes storage

Archiving legacy data helps organizations decommission older systems, which reduces hardware, software and maintenance costs. This process further frees up valuable space on primary storage systems, allowing for more efficient resource use.

Ensures compliance and data integrity

Many industries have regulations requiring data retention for specific periods, and archiving helps meet these requirements while keeping data secure and accessible.

Key considerations for legacy data archiving

A comprehensive legacy data management strategy is crucial due to unique challenges, including data compatibility, storage, security and accessibility.

  • Data catalog: Maintain a detailed catalog of archived data, including its source, format and storage location to ensure easy retrieval.

  • Retention policies: Ensure the archive adheres to all relevant data retention policies and regulations.

  • Access controls: Implement appropriate access controls to protect archived data and restrict access to authorized personnel.

  • Regular backups: Back up archived data regularly to prevent data loss or degradation.

  • Disposal: Establish procedures for the proper disposal of archived data when it is no longer needed or when retention periods expire.

Legacy data management techniques

Managing legacy data can seem overwhelming, but a clear roadmap makes it more manageable. This roadmap should include plans for data auditing, cleaning, conversion, migration and archiving.

Converting your data

Converting legacy data into a standardized, usable format is a crucial step. This involves transforming data from outdated systems into a format accessible by current systems. This process may include data cleansing, deduplication and validation to ensure accuracy and relevance.

When converting data, maintain strict adherence to data integrity to ensure no valuable information is lost or altered. Professional data conversion tools or services can provide the expertise needed for large-scale projects.

Archiving your data

Archiving involves moving data that is no longer actively used but still valuable from live systems to long-term storage. This frees up primary storage space and keeps data secure and accessible for future needs.

Maintain a comprehensive data catalog with detailed information about the archived data, such as its origin, nature and storage location. This facilitates easy retrieval. Archived data should be backed up regularly, and its integrity should be checked periodically to prevent degradation. Archiving must comply with relevant data retention policies and regulations.

Nuxeo loaded 11.34 billion documents, with metadata, without degrading system performance

In a recent exercise, Nuxeo demonstrated it could support over 11 billion documents in a multiple repository system. We found that implementing the larger system with multiple repositories was a better approach. Not only was it more cost-efficient, but partitioning active content from archival content was the right approach.

While most customers do not have multiple billions of documents that they work on regularly, they do need these billions of documents to be fully searchable and available when they need them.

Migrating your data

Data migration involves transferring legacy data from old systems to more current, efficient systems without compromising integrity. This requires thorough planning and execution. Here’s how to establish a migration strategy:

  • Define the data to be migrated, its format and the target system.

  • Prepare data for migration by cleaning, deduplicating and ensuring compatibility with the new system.

  • Use reliable, automated tools to minimize errors and data loss during migration.

  • Thoroughly test the data in the new system post-migration to confirm accurate transfer and full functionality.

  • Continually update migration strategies to adapt to changing technologies and business needs.

Data cleaning

Data cleaning is an integral part of managing legacy data, requiring meticulous attention to detail to ensure accuracy and integrity. This process identifies and rectifies errors, inconsistencies and inaccuracies, such as duplicate entries or missing values.

Data cleaning enhances overall data quality, making it more reliable for analysis and decision-making. Tools and software with automated data cleaning features can streamline this process, reducing effort and minimizing human error.
